How do I add a property?

You can add properties and ownership details to create a portfolio that can be seamlessly managed on Balo.

    • Simply register as a Property Manager to make things happen.
    • Activate your account to add as many properties as you wish to create a portfolio.
    • Provide the property ownership details, and Balo sends an invitation on your behalf to connect with the landlords.

Can I create a Management Authority?

In order to manage a property on behalf of a landlord you need to create and execute a management authority between you or your agency and the landlord. Only then can you create a listing to enable applicants to lease that property.

Balo lets you create a management authority in a few simple steps which is legally binding.

    • Modify and execute the agreement electronically with the click of a button
    • Once accepted by the landlord, a listing can be created.

Making registered properties active listings

You and the landlord can provide more property details to generate a listing for applicants to view.

    • Under Listings, select New Listing or click on ‘Create Listing’ next to the property added and follow the steps.
    • If New Listing is selected, search for the property address you wish to list where you can provide property Basics and feature Details, upload Media files and stipulate Screening criteria.
    • Applicants can now view your listing and apply in seconds with their profile – we call it a Rental CV.
    • Balo also enables you to invite applicants to “Apply” to your listing in seconds.

How do Applicants apply for property Listings?

Applicants can apply to rent your property listing through Balo. You just need to create and activate your listing first.

Once you have an active listing, you can distribute your listing directly with potential applicants.

Here’s how you find your apply link:

    1. Select the “Listings” option from the menu on the left
    2. Click “Edit Listing”
    3. If your listing isn’t already active, switch the toggle under “Activate Listing” 
    4. Copy and paste your application link, or share it via Facebook or Twitter

Your perspective tenants can select to “Apply online” from your listing to create a Balo account. You can see what a full application looks like here.

What does an application to a listing look like?

When an applicant receives your invitation, they’ll first be asked to register a Balo account to apply. We require this in order to keep their personal information safe, and to ensure they can return to edit their application or check its status. This is also critical in enabling the applicant to join your network for direct communication regarding all the features in Balo.

Co-applications

You can invite multiple applicants to join an application to create a co-application, this enables you to rent a property to them as a group.

It is essential that applicants complete their applications to include all standard information required under consumer law, failing to do so will result in Balo notifying them on your behalf to complete outstanding items.

This will send email invitations to co-applicants. It’s important that co-applicants start their applications from these email invites (rather than starting their own application). We group co-applicants together, so that you can choose to rent to them as a group.

Applicants who are applying alone can skip this step entirely.

Creating a lease in Balo.

In order to create a lease, a management authority must be executed between yourself and the landlord to create an active listing. Creating an active listing enables you to receive applications from potential tenants or manually create applications on their behalf.

Creating a lease in Balo is super easy.

    1. Go to Applications to review and select applicants you wish to add to your lease by clicking “Authorise”
    2. Confirm the lease type, rent and bond details and outgoings are correct
    3. Distribute the lease to tenants and landlords for electronic signing by selecting “Distribute”
    4. You can view the status of each party (receipt and signing), even reminders until the lease is executed

Balo will remind applicants that they need their profiles completed in order to successfully apply for listings.

Can I edit a lease or customise questions

At times you may want add applicants to a lease without having them apply directly to a listing. However, applicants must be registered on Balo, and must have a completed profile in order to do this.

Remember, you can always invite them to join your network (contacts) on Balo.

This is how easy it is to add applicants to a lease:

    1. Go to the listing and click ”New applicant”
    2. Simply enter the details of the applicants you wish to attach to the lease
    3. Confirm the lease type, rent and bond details and outgoings are correct
    4. Distribute the lease to tenants and landlords for electronic signing by selecting “Distribute”
    5. You can view the status of each party (receipt and signing), even reminders until the lease is executed

Balo will remind applicants that they need their profiles completed in order to successfully apply for listings.

Adding tenants to an existing lease

We understand that you may have existing tenancies and leases in place, so we’ve made it easy for you to onboard your customers with Balo.

To get started you can go ahead and follow these steps:

Sign up and select “Add existing tenants to Balo”

Balo will prompt you to “Create a new property”.

      • The important things we need are:
      • The full property address
      • Provide ownership details
      • Your management authority details
      • Specify the tenants and lease terms
      • Publish your listing (to Balo)
      • Complete your profile

Balo will invite the tenants on your behalf to join your network and get them sorted.

They can complete a profile and provide their preferred rent payment method for immediate rent collection deposited to the trust account linked to your Balo account.

Tenants can now communicate with you directly via Balo and receive important notifications regarding their lease in real time, including inspection dates, contractor repairs, rent due and notices issued by yourself.

Balo records a transparent timeline of events for tenants to review at their leisure.

Creating a Key Register

An important aspect of managing property is ensuring the correct allocation and movement of keys. Balo enables you to register keys and track their movement from the moment you add a property.

You have the ability to register keys to tenants, and monitor the movement of additional key sets to that property.

To register keys to a tenant:

    1. Allocate an existing set by searching for the property and selecting keys or register a new set.
    2. To register a new set, select “Add Keys”
    3. Enter the number of sets you wish to register to that property
    4. You can then specify an identification number for each set or allow Balo to generate them for you.
    5. You can take a photo or upload an image of each set
    6. Select done to complete the registration.
    7. You can then assign “Key sets” to the tenant or any persons associated with the property including contractors.

Here you can manage the movement of key sets easily for that property.  “Check Out” and “Check In” keys each time a person requires access to the property.

Simple, secure and traceable.

Conducting an Entry Condition Report

An entry condition report is required to record the condition of the property at the start of the tenancy.

The form will be an important part of the bond refund process. It will help support you or the landlord’s claim for compensation if the property has been damaged beyond normal fair wear and tear. It also protects a tenant from unsubstantiated claims.

To conduct a condition report:

    1. Search for the property address and select “Inspections
    2. Click the “New Inspection” button and select “Entry Report”
    3. Complete the report by indicating the condition of the areas and items within the property. Notes, photographs and video can be attached as supporting evidence.
    4. Once complete, click the “Distribute” button for tenant consent to the properties condition.

You can monitor the status of the report until its signed off by the tenant. Once completed, a copy will be automatically sent to the landlord for reference.
